Privacy Policy

The Personal Data Protection Act 2010 (“PDPA”), effective from 15 November 2013, regulates the processing of personal data in commercial transactions in Malaysia. WISE Property Management Consultancy ("WISE") recognizes the importance of your privacy and the sensitivity of personal data and is committed to protecting your personal data in line with the PDPA. This policy applies to all existing, immediate, and prospective clients, contacts, and employees of WISE.

 

Collection and Processing of Personal Data

In the course of your interactions with WISE, you may be requested to provide, or you may have already provided, personal data as defined under the PDPA. This data will be collected, stored, used, and/or processed by us for purposes related to our business processes, services, client relationships, management, and business development activities.

 

Your personal data may include, but is not limited to:

  • Master Data: Name, gender, date of birth, citizenship, marital status, nationality, race, ethnic origin, identification card/passport details, qualifications, occupation, photographs, or other images.

  • Contact Details: Home and work addresses, phone numbers, email addresses.

  • Additional Information: Financial and credit card details, bank information, tax file identification number, EPF number, SOCSO number, criminal history, and any other relevant data that enables us to provide you with our services.

 

We collect personal data through lawful and fair means, and wherever possible, directly from you. However, we may also obtain information from other sources such as:

  • Registration forms (electronic or printed) for seminars, in-house talks, or promotional events.

  • Official request forms provided by WISE employees.

  • Queries, emails, or correspondences requesting information or making inquiries.

  • ‘Contact us’ forms submitted through our website.

  • Government agencies, registries, referrals from existing clients, real estate agents in property transactions, or letters of offer from financial institutions.

 

By voluntarily providing personal data, you warrant that you have obtained the necessary consent from the individuals involved for WISE to process the data in accordance with this policy.

 

How We Use Your Personal Data

Your personal data may be used for one or more of the following purposes:

  • To render services, provide advice, and fulfill obligations that WISE may have to you or third parties.

  • To prepare, execute, and manage necessary documents, agreements, and contracts related to our services.

  • To maintain internal client records, manage administration, business development, research, and internal operations.

  • To meet any legal or regulatory requirements and make disclosures as required by applicable laws, regulations, directives, guidelines, by-laws, or court orders.

  • To send you information, invitations, promotional materials, and updates about our services and offerings.

  • To operate our website and manage information technology systems, including the collection of IP addresses and cookies for internet-related activities.

 

Security and Retention of Your Personal Data

WISE regards personal data as a valuable asset and places great importance on ensuring its security. We regularly review and implement up-to-date technical and organizational security measures when processing your personal data to protect against unauthorized access, disclosure, alteration, or destruction. Personal data will be retained for a reasonable period in accordance with commercial requirements and legal obligations.

Disclosure of Personal Data

Your personal data will generally be kept confidential, but you consent and authorize WISE to disclose your data to the following categories of parties:

  • Affiliates and Partners: Companies and organizations within the WISE group or those acting as our agents, professional advisers, or service providers.

  • Your Advisors: Accountants, auditors, lawyers, financial advisers, or other professional advisers authorized by you.

  • Government Authorities: Law enforcement agencies, public officers, or any other persons required by law or legal process.

  • Other Relevant Parties: Counterparties, their advisers, agents, and representatives in any legal and/or commercial transaction, financial institutions for loan documentation processing, state authorities, and the Inland Revenue Board.

 

We will only disclose the minimum amount of personal data necessary for the purposes described above and will take all appropriate safeguards to ensure the integrity and security of your data.

WISE is committed to keeping your personal data secure. We will take all reasonable steps to ensure that your information is kept confidential and will not sell, rent, or trade your personal data. We endeavor to implement appropriate administrative and security safeguards to prevent unauthorized processing, loss, destruction, or damage to your data.

 

Data Transfer and Sharing

Given the nature of our services, it may be necessary for WISE to transfer your personal data to affiliates, associated companies, or third-party service providers located within or outside Malaysia for data storage, processing, or service delivery. Such transfers will be conducted under conditions of confidentiality and with similar levels of safeguards as those employed by WISE.

Failure to Supply and Consent to the Processing of Personal Data

Providing your personal data is obligatory for the purposes described above. Failure to supply and consent to the processing of your personal data may result in:

  • Service Limitations: We may be unable to provide you with the information, notices, services, or products you have requested.

  • Communication Limitations: We may be unable to send you information about related services offered by WISE and our affiliated business partners.

 

Your Rights to Update/Correct Your Personal Data

You have the right to access and correct your personal data held by WISE. If your information is incorrect, incomplete, or outdated, you may submit a written request for correction, specifying the incorrect information and providing the correct details.
